Guidelines for Submitting Original Royalty Free
Index Stock Imagery is now accepting Royalty Free (RF) images from individual artists directly into the collection. To participate in this new model, you must already have a Material Exclusive contract with our agency and have signed and returned the Original Royalty Free Contract Rider. Please contact me should you need a new copy of the Rider.
All of the RF will be Material Exclusive (MX)
•Same as your Rights Managed (RM) imagery with us, your contract applies to any images you wish to submit as RF. Whatever we select, including similars/outtakes, absolutely cannot be given to any other agencies in any form.
No re-submitting of Rejected RM imagery
•If you submit an image for RM and it is rejected, you cannot then resubmit that image for RF. If our editing staff feels a newly submitted RM image might work a bit better for RF, we will ask you if you are ok with the switch. But if the image has been outright rejected, please do not submit it again. We only want to see new work in your submissions!
All images must be fully released
•We cannot accept non-released images into the RF collection – there is no “Editorial Only” component of RF, as we have no way of monitoring the end usage. Please remember to include a copy of all releases with the submission so that we can process it more quickly. Images without copies of releases will not be processed.
Digital or transparencies only, no prints or negatives
•We still require high-quality film or digital images that meet our Digital Guidelines .
Put it in writing
•Similar to how we clear older images for the RF collection, after your submission has been fully processed you will receive a printed contact sheet displaying the selected images. At that time you must fax or mail us back this contact sheet with the words “Cleared for RF” written on the sheet along with your signature.
Please remember to clearly label your submission as “Royalty Free” on the delivery memo, caption sheet, and/or disc to assure that it will not be confused with your regular RM submissions to be edited.
